Client Records

Record standard details

Including date of birth, age gender next of kin & emergency contact details

Unique data entry feature allows an activity to be entered just once to be automatically replicated into the future. Allocation of regular staff to the activities creates continuity of care and regular scheduling patterns.


Record and report initial referral date, date of assessment/first visit and when the client should be reviewed

Care prerequisites

Set default care requirements for the client matched to specific staff qualifications ensuring delivery of the highest quality of service to meet clients’ needs.

Staff Qualifications and Training

All qualifications such as DBS and medication training are recorded, and CARAS will alert you at regular intervals of qualification expiry in order to plan refresher training.

Staff with specialist qualifications can be matched to clients with the relevant needs, while staff without these qualifications will be blocked from caring for those specific clients

All training records may be monitored and exported using the Qualifications CSV - "Training Matrix"

Personal Records

Accessible only to the supervisor are details of staff NI numbers, bank account details, internal ID combers and work visa details

If a work permit or other permit has expired, the staff member will automatically be removed from the work rota until its renewal

Long term absences, holidays, sick leave and other events are recorded and accurately documented

Availability and Contract hours

CARAS shows the number of hours booked for each member of staff, the number allowed under visa or benefit restrictions and will alert you once the target has been reached

Set & record availability or non availability on a regular default or ad hoc basis assisting with the management of rostering & scheduling

Non-care activities such as training, meetings, on call all affecting availability are linked to both rotas & payroll

Medication Records

Record all current and historical medication – CARAS includes a pre-set list of over 400+ common medications, as new meds are developed this list can easily be added too

Financial Management


CARAS will generate payroll and give you control of the timing of your payroll period. You will be able to see the payroll for each day displayed in the Finance Payroll View. As with invoices, payroll can be exported to Sage or other accounting packages.


Using the CARAS finance module, you can generate invoices when you need them, whether weekly, bi-weekly or monthly. These can be related to a contract, funder, group or single client. There are many formats available, and invoices can be either sent out direct from Caras or exported to Sage or other accounting packages.

Mileage and Travel

CARAS will automatically calculate the travel time & mileage and record this on timesheets for invoicing & payroll. This function links to the Payroll supplement report for National Minimum Wage checks.
